Job Title: Employee Benefits Administrator

Purpose statement
Highly motivated individual focused on supporting the employee benefits consulting team and general office tasks to ensure an effective employee benefits environment and service of very high standard to our clients.

Reports to:
1st Line of reporting: Principal Consultant
2nd Line of reporting: Head of Consulting
Job objective

Primary objective:

• To deliver a professional and excellent quality of service to employers and members of retirement funds, in accordance with the service level
agreements and year planners.
• To assist and support the employee benefits consulting team in providing professional, high quality consulting and administrative services to
clients to ensure client satisfaction, retention and expansion.
• To ensure effective employee benefits environment.
Duties

Assist and support the employee benefits consulting team:
• Deal with external and internal queries telephonically or by written correspondence as required.
• Provide ongoing feedback to consultant.
• Assist with the collating, binding and timely distribution of agendas before a client meeting.
• Provide supplementary documentation required for fund management meetings i.e. updated disclosure documents, attendance registers etc.
• Ensure all signed minutes are pasted in the minute books and loaded on EFBC’s SharePoint.

Financial:
• Manage costs within your control, including costs relating to telephone, stationery and printing.
• Processing of invoices in respect of any expense: On receipt of invoice complete proof of order, obtain approval from Managing Director and forward to Finance Department for payment.
• Maintain commission control and confirm all income to the Finance Department as soon as income is paid. Forward supporting commission statements / income information to Finance Department and keep track of all income.
• Notifying Head of Consulting of any errors / omissions that may lead to Efficient Benefit Consulting being held liable.

Office Administration:
• Manage incoming calls and make sure that all calls are attended to in an efficient and timeous manner.
• Responsible for the overall office management.
• Responsible for booking of boardrooms for meetings and all travel arrangements.
• Responsible for EFBC’s printers to ensure maintenance is done, ink is ordered and all issues are logged with service provider.
• Manage stationery cost effectively and arrange for purchase of any approved stationery.
• Any ad hoc tasks as approved by the Principal Consultant.

Compliance to Internal Processes:
• Delivering of service and commitments to clients thus building and maintaining a trust relationship with clients.
• Adherence to compliance as set out in the company compliance manual by Group and CompliServe.
• Undergo all training required.
• Comply to all Group and EFBC policies.
• Ensuring that relevant invitations and document distributions are extended to the correct contact people – i.e. newsletters, seminars etc.
• Adhere to general administration tasks, filing, updating Sharepoint, electronic storing of minutes, reports etc.
• Update the complaints register.
• Update the gift register.

Clients:
• Build and maintain HR relationships at clients.
• Management of client expectations, maintaining pro-active relationships and remaining client focused at all times.
• Deal with queries from retirement fund members and institutional clients.
• Liaising with trustees, MANCO members, HR personnel at the employer, service providers and other internal departments.
• Assist with the communication to members i.e. distribution of communication, liaising with couriers and other service providers.
• Responsible for follow-up on medical underwriting of employees/members.
• Responsible for all client administration i.e. uploading of employee information on umbrella fund platforms (if applicable), assist client with
completing claim forms, check claim forms for correctness, updating of client information on EFBC’s systems, obtain all FICA related
information from client.
• Facilitation of billing reconciliation queries with service providers.
• Obtaining signatures from clients when necessary.

People
• Develop strong relationships with all internal colleagues and external service providers to ensure operational efficiency and discuss product
characteristics and appropriate training, service and support.
• Building key relationships with all service providers (i.e. administrators, insurers, individual advisors etc.), distribution partners and target
market.

Legal
• Employee benefits industry and legislation knowledge are essential. Keep abreast with all changes.
• Attend required internal and external forums and training courses.

Processes
Adhere to all internal and external processes.
Technology
Apply systems and processes to obtain, coordinate and apply Efficient Group’s signed off agreements with B-Logic.
Job Evaluation
Criteria Formal Education
Matric and NQF Level 5 qualifications.

Experience:
5 years’ experience in the Employee Benefits industry.
