Executive Assistant to CEO Ndabeni Pinelands

Well established Manufacturing Company are looking for an Executive Assistant to the CEO. Must have 10 years’ experience. This will be a 6 months contract to start with, with an opportunity for renewal.

Salary: R30,000 - R35,000 p/m – NEED TO START IMMEDIATELY
Type of Employment: 6-month fixed-term contract, with the opportunity for renewal

Minimum Requirements:
• Matric, Relevant Qualification an advantage
• 10 years of experience as an Executive Assistant

The responsibilities of the Executive Assistant include the following:
? Manage, coordinate, and maintain the calendar of the CEO - including appointments, meetings, and travel.
? Keep sensitive business and personal matters private and confidential.
? Responsible for organizing internal and external meetings on behalf of the CEO, ensuring all necessary requirements are made.
? Provide executive and administrative support to the CEO.
? Responsible for organizing the CEO’s travel and logistics including flights, visa requirements, hotel accommodation, car rental, meeting schedules while traveling and completing expenses.
? Monitor and respond to incoming communications to the office of the CEO, including phone calls, emails, and walk-ins.
? Coordinate bi-monthly Management meetings for all Department Heads and ensure minutes and action outcomes are disseminated and followed upon.
? Co-ordinate Monthly Director meetings and ensure minutes and action outcomes are disseminated and followed up.
? Work with and coordinate with the Office Manager to ensure all our compliance requirements are up to date e.g. Environment, Health & Safety
? Secretarial support for meetings as and when required by the CEO, including drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues and arranging refreshments. Writing and distributing comprehensive minutes and action points to all members post-meeting.
? Drafting and writing high-quality reports and presentations, as required by the CEO.
? Communicating important updates and information to Stakeholders as required by the CEO.
? Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
? Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
? Run personal errands for CEO on occasions including personal administration.
