To provide business administrative support to the Department including the coordination and implementation of Fire Services activities and projects in line with the strategic objectives.

Duties & Responsibilities
Operational Service Delivery: Execute on the approved service standards applicable to the VFS department that foster a customer centric environment.

Support the implementation of VFS systems and structures that ensure delivery in line with the legislative framework and organizational objectives.
Support company leadership and conduct administrative department activities for staff members as required.
Receive office visitors and direct them to the appropriate parties.
Handle basic office tasks such as filing, delivering mail, answering emails and phone calls, and data entry within VFS.
Coordinate schedules and manage calendars for multiple parties to ensure that activities are properly arranged with no conflicts.
Travel arrangements and prepare documents, presentation materials, and facilities for meetings.
Enter and update company, employee, and client records as and when required.
Maintain, repair, or replace office equipment as required.
Direct, review, and optimize the VFS office to increase accuracy, productivity, and efficiency and reduce costs where applicable.
Stakeholder management: organize, monitor and improve your relationships with your stakeholders.

Risk Management: Identify & Assess Risks Early. This might seem obvious but identifying the risks early on is vital.
Create a Plan to Manage the Risk.

Consider Goals and Objectives.
Desired Experience & Qualification
Relevant Diploma in Business Administration or a related field. NQF 6
3 Years’ relevant Administrator experience is required.
2 Years’ experience within a Fire Services, Engineering or technical environment is preferable.
