My Client is seeking the following:

Minute Taker
To provide professional minute taking services to the Company Secretariat team and assist with other ad hoc administrative and company secretarial related matters. The company is looking for a dynamic professional who is passionate about working as a professional Minute Taker

Minimum Education
• CIS Qualification or studying towards CIS qualification
• Office Administration Diploma or Degree
Minimum Experience
• 1 - 3 years Office administration in a Company Secretary office
• 3 – 5 years experience as a minute-taker in a Company Secretary Office
• Basic knowledge of the Companies Act 71 of 2008, King IV and financial sectors laws
• Experience in the Financial / Banking Sector will be advantageous
Technical (COMP)
• Excellent working knowledge in MS Word, MS Excel and MS Powerpoint
• Excellent written and verbal skills (English)

Overview:
1 - Minute Taking Duties (Board, Committees and Exco)
1. Provide ongoing support and assistance to the Company Secretarial department by attending and drafting minutes for various meetings - Board, Committees, Exco, Shareholders, etc.
2. Ability to draft detailed, complex and accurate minutes within tight deadlines.
3. Prepare minutes and action lists within one week of meetings (including compiling inputs and comments on draft minutes).
4. Maintaining proper version control of minutes.
2 - Office Administration and Other duties
1. Draft agendas and cover notes for all meetings, upload on electronic meeting platform and prepare electronic meeting packs
2. Draft Round Robin resolutions as required.
3. Maintain an accurate list of members and invitees to all meetings.
4. Deal with general day-to-day correspondence and queries relating to minutes, resolutions, extracts, actions and follow-ups, etc.
5. Update and maintain agendas, submissions (electronically), minute books and attendance registers (electronic and hard copy).
6. Support the Company Secretarial team with administration and logistics for meetings, as required.
3 - Treating Customers Fairly and Compliance
1. Create and maintain productive relationships with internal and external clients by providing advice and assistance
2. Create understanding of the ‘real’ versus ‘perceived’ need through experience and expertise while complying with company policies, legislation and regulations
3. Keep the client informed about progress through written communication, telephone communications, and/or face-to-face meetings
4. Build a positive image by exceeding client expectations at all times
5. Treat internal and external customers fairly at all times
