Personal Assistant
Main Responsibilities
Screening telephone calls enquiries and requests, and handling them when appropriate
Meeting and greeting of visitors at all levels of seniority
Organizing and maintaining diaries and making appointments
Liaising with clients, suppliers and other staff
Arranging travel and accommodation and, occasionally travelling with the Managing Director to take notes or to provide general assistance during presentations.
Treating of all documentation with discretion and confidentiality
Managing the Managing Director's diary on a daily basis
Ensure receipt of all MD's credit card slips after a trip to be handed to Bookkeeper for reconciliation purposes.
Travelling may be necessary from time to time
Running of errands on the MD's behalf
Diary management of the Managing Director
Ensuring that the contact details on Outlook is maintained and updated on a regular basis
Dealing with incoming email, faxes and post, often corresponding on behalf of the MD
Often carry out background research and presenting findings as when requested.
Devising and maintaining office systems, including data management filing etc.
Handling all the filing of documentation as per the Managing Director's coding system
Controlling all leave forms for the following parties in respect of all leave aspects
Preparing of Attendance Registers for all the Managing Director's meetings
Compiling all relevant documentation for Managing Director's attention for scheduled meetings.

Skills & Knowledge Required
PC Literate Excel, PowerPoint, Word, Outlook
General Office Administration
Grade 12 Certificate,
Drivers & car.
2-3 years PA experience
