1. Role summary:

Receives visitors to the organisation, determining their needs and directing them accordingly. Answers general queries and directs them to the relevant personnel or department. Perform routine typing, administration and/or secretarial duties. Responsible for all switchboard duties. Contributes towards the image of the company. Strong computer and communication skills.

2. Key responsibilities:

The brief description outlined above will involve the following specific duties:
• Answer the telephone, receive visitors and control the reception area of Sanne in a professional manner, which will promote the good image of the company.
• Maintain and manage centralised calendars in Sanne and liaise with internal staff regarding bookings of meeting rooms.
• Logging service calls with suppliers and vendors, and following up until issues are resolved.
• Book and arrange parking for staff and clients.
• Order kitchen and cleaning supplies and keep a stock register.
• Order stationery and keep a stock register relating to the stationery cupboard.
• Produce reports and correspondence as needed.
• Book couriers and ensure the courier relationship is managed.
• Arrange catering for meetings, and ensure that the boardroom and meeting rooms are kept tidy on a daily basis.
• Assist in office operations and administrative activities, and any such other related activities as may be required by the Office Manager.

3. Skills / experience required:

• Minimum of Matric/Grade 12;
• At least 2 years reception experience;
• Qualification relating to computer skills/literacy;
• Well groomed, well presented, friendly and professional;
• Good telephone voice, manner and etiquette and
• Excellent communication skills, both verbal and written.
