Experienced Sectional Title Property Manager role based in Rondebosch, Cape Town.

The role takes full responsibility for the effective management of the allocated portfolio of properties. This includes, inter alia, the preparation of annual budgets, monthly working budget projections, attending meetings with trustees, attending site meetings, and attending general meetings, many of which may be after normal working hours.
The Property Manager is also responsible for mentoring, managing and measuring the performance of his/her support staff.

Minimum Job Qualifications/Requirements
o Matric
o FETC Real Estate (NQF 4) or equivalent as per the EAAB’s matrix
o Driver’s license
o Sectional Title property management experience
o Registration with the Estate Agency Affairs Board
o Valid fidelity fund certificate


Principal Duties and Responsibilities
Daily Responsibilities:
o Overseeing the Facilities Administrator’s role with regards to the daily liaison with contractors, trustees,
owners and or insurance companies
o Daily authorization of creditor invoices
o Presentation of comprehensive management packs at the trustee meetings
o Resolution of disputes between owners and or trustees
o Dealing with the staff of the clients as well as labour relations issues associated thereto
o Provide guidance to owners and trustees on the relevant Acts, and procedural matters of meetings e.g. quorum requirements, voting rights etc.
o Negotiating with professional persons on behalf of the client
o Overseeing preparation and dispatch of all correspondence
o Attendance at trustee and general meetings (which meetings maybe after hours), as required, and recording
same and preparing the minutes for circulation

Weekly Responsibilities:
o Checking and releasing payment batches on the online banking profile
o Checking and releasing payment requisitions

Bi-Weekly Responsibilities:
o Meeting with Debtors Administrator iro the arrears of the portfolio and reviewing the debtors’ report
o Meeting with Facilities Administrator iro the repairs and maintenance of the portfolio and reviewing the
outstanding works orders

Monthly / Quarterly Responsibilities:
o Reviewing each buildings’ performance against budget and making suitable adjustments and projections
o Commenting on variances against budget for every building
o Reviewing the clients’ management accounts before issuing
o Investment of the clients’ excess funds in an investment account

Annual Responsibilities:
o Preparation of annual budgets
o Recommend staff Increases/Annual Bonuses
o Sourcing of insurance quotes for the client
o Updating the 10-year maintenance plan and forecasts

Ad-Hoc Responsibilities:
o Site Inspections
o Meeting with the Managing Director on the performance of the portfolio
o Obtaining replacement valuations for the Sectional Title Scheme (normally every 3 years)
o Travelling and conducting business for and on behalf of the Company as requested
o Employ green building practices and reduce the clients’ building’s carbon footprint
