Senior PMO Administrator - Sandton

A company in the Healthcare Industry requires the skills and experience of a Senior PMO (Project Management Office) Administrator. The position is based in the Northern suburbs of Johannesburg.

Responsibilities:
? Meetings & Project Office/Administration
Schedule meetings and setting up meetings
Prepare meeting documents e.g. attendance registers, agenda, presentations, etc.
Minute Taking
Distribute reports and meeting output to approved stakeholders
Upload key documents onto PMIS (PPO)
Update lessons learned
Extract close out reports

? Setup, Initiation and Planning
Upload Billing Schedules and contracts to PMIS (PPO)
Identify & capture, scope, objectives & deliverables
Extract draft Project Charter
Prepare Microsoft Projects (MSP) from Work Break down Structure (WBS)
Import MSP into PMIS (PPO)
Identify and capture assumptions and concerns
Extract Project Management Plans from PMIS (PPO)

? Execution
Update costs, tasks, benefits and team members on PMIS (PPO)
Obtain document approvals, sign-offs and ensure documents are uploaded onto PMIS (PPO)
Update Actions, Risks and decisions
Track task progress
Extract Project Dashboards and distribute to Stakeholders
Upload Milestones onto PMIS (PPO)
Create Project File

? Project Take-on and Remediation
Create users and user groups on PMIS (PPO)
Register projects on PPO
Assist PMO Manager in Remediation progress updates (heatmap)

? PMO Support
Provide support to managers and project teams on all functional areas in the proper use of PMIS (PPO)
Provide support and coaching to teams on the governance and the lifecycle
Provide support and assistance in regard to change requests and change control
Obtain project deliverables sign off

? Assurance
Assist in updating the quality assurance report (heat map)
Review quality health indicators
Comments and feedback (correlation between comments and details-provides interpretation to the sponsor)

? Contract Management
Obtain milestone certificate sign-offs and upload to PMIS (PPO)
Assist in formulating and maintaining the billing schedule
Assist with contract schedules for contractors and ensuring signoff

Minimum Educational Qualifications and experience:
Grade 12 with CAPM (Certified Associate in Project Manager) or
Diploma in Administration or Project Management
5-8 years in a similar environment/ position
Must be able to map out processes
Strong facilitation Skills
Problem-solving skills
Analytical and innovative
Stakeholder Management and Analysis
Create MSP schedules
Produce Dashboards
Excel, Word, Visio and MS Projects skills
