To serve as the interface between the organisation and client representatives and to enhance and maintain client relations of the Technical department. Managing of client portfolios by ensuring expeditious communication and effective analytics.

Matric (Grade 12) or equivalent (NQF Level 4).
1.2 Three year’s proven experience within a financial or key accounts department will be beneficial.
1.3 Any qualification in Business Management / Finances / will be highly beneficial.
1.4 Any experience / qualifications in Technology will be highly beneficial.

Client Relations & Statistical Analysis:

Manage client administration.
Acquire a thorough understanding of key customer needs and requirements; adjust function accordingly.
Respond to any reasonable requests from clients in an efficient, professional and prompt manner.
Build, develop and maintain strong and professional client relationships at all times.
Prepare detailed presentations, proposals, plans and statistics when needed.
Analyse data and trends to compile comprehensive and visual statistics.
Expand relationships with clients by continuously proposing new solutions that meet their objectives.

Reporting:

Capture all incidents received from the NOC and Technical department daily and inform the relevant personnel of all updates.
Ensure that all relevant detail is updated on the system before month end and reports (this includes False alarms, instillation updates, stock reports, Technical incident reports) are compiled.
Ensure that spelling, grammar and format of document is correct before sending the reports to clients.
Anticipate changes and trends relevant to area of responsibility and communicate it to the clients via monthly executive status / analysis reports.
Should be willing to submit reports on Saturdays & Sundays.
Ensure that any additional reports required are executed on time as and when required.


Month end & finances:

Collect client month-end documentation, including log-, mileage- & timesheet and reports of the Technical department weekly.
Verify the log-, mileage- & timesheets and ensure it corresponds with payroll.
Reconcile monthly supporting documentation and prepare for invoicing.
Ensure on-time distribution of invoices and supporting documents (when required by the client).
Assist with budget costing and planning.

Tenders & proposals:

Attend meeting to assist with any Tender requirements.
Preparation and compilation of required Business and Client Proposals to be used during Tender and BID processes.
Complete quotations for prospective clients if and when required.
Complete supplementary quotations for current clients as and when required.
Ensure grammar, spelling and format is correct before sending documentation to prospective and/or current clients.
Present presentations to clients as and when required.

2.5 General:

Ensure that the Technical department’s documentation is designed and implemented according to ISO 9001:2015 requirements.
Keep team and relevant superiors informed of events or conditions that could affect the team’s ability to meet objectives.
Ensure that ethical and professional behaviour is maintained at all times.
Ensure that all conflict is addressed and resolved in a proficient manner.
Complete all reasonable instructions from superior in a timely manner.
Take initiative and assist other team members (this includes the Key Accounts department as well as Finances) as and when required.
Arrange meetings (this includes arranging venues, catering, stationary, etc.).
Compile agendas and minutes of meetings.
Purchase and organise collection of stationary, equipment, etc.
Develop a strong relationship with suppliers.
Ensure that the correct PPE and specialised equipment is purchased for specific client requirements.
Design, implement and maintain filing systems.
