Minimum Qualification: Grade 12 Level of Experience: Minimum 2 - 3 years reservations and client liaison experience in high end properties Position Summary To facilitate guests bookings and support all departments to ensure an exceptional guest experience.Job Requirements Sound financial acumenCompiling of required reservation and financial reportsComputer literacy is essentialOperational experience within a high end propertySound Opera property management system experience requiredHandles Hotel bookings and reservationsEnsures that profiles of arriving guests are updated on systemEnsures that confirmations of bookings are accurately sent out within a 24 hour turnaround timeLiaises with departments and provides an update on arrivals, groups and special requestsMaintains good communication channels with all suppliers and industry colleagues including other 5 star hotelsEnsures pro-forma invoices are sent out in time to guests and agentsAssists with the maintenance and control of payment and commission procedures for all reservations (travel co-ordinators commission)Records all commissions generated through transfers, tours etcAssists with monitoring occupancies and forecasts in line with set budgetDaily filing of all written correspondenceUpdate 3rd party booking sites (including the hotel website) through RateTiger to yield rates and availability to ensure maximum results through online bookingsEnsure content and images on all 3rd party websites are correct and updatedPreparing the next day’s arrivals and hand over to ReceptionEnsure that payments are collected as per payment policyFollow up on provisional bookingsAction daily reservation tracesChecking allocations for the next 7,14 and 21 days and releasing this according to the stipulated agreementCollate a weekly pick up report and also a list of provisional bookings for the next three monthsCapture payments from the bank statement to bookingsEnsure that the guest ledger for outstanding balances is cleared within 7 days of an account being addedSource and communicate profile of guests staying at the hotel to relevant departments Personal Attributes- Excellent interpersonal skills and telephone manner- Ability to work under pressure - Good organisational skills - Excellent written and verbal communication skills - Highly Organized and Efficient - Flexible with a good sense of urgency- Excellent attention to detail- Passion for exceptional service in the Hospitality Industry- Very good under pressure and able to prioritise- Extremely reliable and possess an even temperament- Proactive nature- Comfortable with hosting site inspections- Able to work outside of normal working hours as per Company requirements Please note that after submitting an application, if you have not heard from us within 2 weeks of the closing date you should assume your application has been unsuccessful.
