Our client based in Roodepoort has the below exciting opportunity for a Admin and Facilities Manager

Purpose:
Manage and maintain the property and facility management services for the organization in order to facilitate the efficient operation of the business by implementing effective administration processes.

Special Requirements:

Budgets:
Operational Budgets of +- R115 Million
Manage CAPEX Budgets of up to R14 Million

Staff Compliment:
Manage staff compliment of up to 30 people

Minimum Requirements:
Advanced Diploma in Built Environment, Facilities Management/ Business Administration/ Internationally certified as Facilities Manager
Computer Literacy
SAP
5 years management or 8 years supervisory experience in Property Services or Facilities Management Environment
5 years project management experience.
5-8 years general administration and project management is essential.
Construction Regulations
OHS Act.

Duties and Responsibilities:
Prepare Capital Expenditure budget for approval with proposed capital expenditure within management guidelines by reporting progress on all projects against time lines and costs.
Draw up proposals annually for Capital projects and operational budgets,
Prepare annual OPEX budget for approval in accordance with management guidelines, by analyzing previous expenditure and future estimates.
Compile and submit monthly report of actual costs against budgeted costs, and prepare monthly cost variance reports with supporting justification where appropriate.

Management of the Provision of Administration Support Services in order to facilitate the efficient operation of the Business:
- Manage and Maintain the property, facilities and administration support services for the organization to ensure the efficient operation of the business.
INSURANCE:
- Review, monitor and update the short term insurance risk requirements for the organization by consulting with the insurance risk brokers and the Company's Risk Committee.
- Manage insurance claims by monitoring and investigating the claims not reported within a specified timeframe.
OFFICE ADMINISTRATION:
- Manage the internal and external mail, reception, switchboards, landline, cellphone and other outsourced services in such a way that an effective service is provided.
CANTEEN/CATERING SERVICES:
- Manage and maintain an efficient canteen / catering service in accordance with company's SHEQ standards and health regulations by monitoring the performance of the contractor and assessing customer satisfaction.
PROPERTY AND FACILITIES MANAGEMENT
- Develop and Implement electronic centralized lease management system by consolidating all lease agreements.
- Develop and maintain a central tracking system to ensure that all utility payments are made timeously.
- Identify and report property related risks to anticipate minimized and / or avoid disruptions to the business by proposing alternative actions and resolutions.
- Investigate alternative ways of improving current services to address environmental energy constraints.
- Ensure that all relevant statutory regulations and company's policies are adhered to in respect of all the above services as well as the owned or leased properties.
VEHICLE MANAGEMENT:
- Develop, Implement and manage appropriate measures and relevant administration procedures specifically relating to vehicle management regarding the;
- Administration of Petrol cards
- Administration of a manual traffic fines system
- Administration of a manual registration and deregistration of motor vehicles system.
- Administration of accident/insurance reports.
TRAVEL:
- Manage a centralized travel system of bookings with direct and indirect travel expense control by monitoring monthly costs and take corrective action when necessary.
- Maintain a preferred supplier's list to ensure that the company's employees are accommodated at a safe environment at all times.
SLA's
- Negotiate service contracts in conjunction with National Head of Purchasing to ensure that specifications and company standards are met, in addition competitive pricing solutions needs to be optimized.
PROJECT MANAGEMENT:
- Consult with internal stakeholders and Architect regarding space requirements and renovations
- Compile budget documentation for approval
- Manage renovations and refurbishment projects by liaising with external and internal stakeholders to ensure that deadlines are met and budget constraints and specifications are adhered to.
- Identify; approve and manage all approved vendors per task and project.
- Ensure that all buildings and their surroundings reflect a positive image of the company and are maintained in good condition.
