ASSISTANT CO-ORDINATOR

Area: Laser Park, Honeydew
Salary R5500 P/M
Qualifications: Grade 12, Fully Bilingual, Computer Literate

The Assistant Coordinator will report directly to the Regional Manager that they have been assigned to. The main role and function of the Assistant Coordinator is to assist the
Regional Manager with the following tasks relating to activities in the region allocated to:

• Collecting of data for invoices;
• Reporting and management of stock in possession of Technicians (Theoretical vs Physical as re-ported by the Logistics manager);
• Assist with Co-ordination of technician trip planning and accommodation and financial require-ments;
• Regional Staff leave records;
• Vehicle Tracking/vs trips undertaken by Technicians. Also analysis of actual kilometers traveled versus Invoiced;
• Assist with preparation of management reporting;
• Work hand-in-hand with the Regional Technical Services Managers, Technicians, HR and Logis-tics staff;
• Maintain standardised filing system per client, site, etc;
• Assist with preparation and maintenance of project organization and communication charts;
• Track the progress and quality of work being performed by design disciplines/trades;
• Effectively and accurately communicate relevant project information to the regional project team;
• Ensure clients’ needs are met in a timely and cost effective manner;
• Collect and file job cards, field inspection and quality control reports from Technical Support Officers and Technical Service Managers throughout the lifecycle of the project;
• Assist the Regional Manager in the collection and review of quotations to ensure that only fair and reasonable pricing is recommended for approval;
• Track & maintain schedules, reports and other client and project related information in the da-tabase;
• Ticketing system - assisting monitoring and closing/updating of tickets received;
• SIM cards for the sites - keeping track of the SIM numbers issued and used as well as the old SIM cards that have been removed;
• Keep the Regional Manager and others informed about job, project status and issues that may impact client relations;
• Assisting with the requests and monitoring of tags;
• Assisting with the paperwork for Safety files;
