Customer Operations Administrator
Introduction

Description
My International Client in the Financial Services industry is looking for a Customer Operations Administrator

Function: Customer Service and Operations
Reports to: Site Head of Customer Service and Operations

Purpose: To provide general administrative support to the UK and ZA operational teams in terms of communication, recognition, people engagement and financial administration.

Key Accountabilities
Events
Arranging all in-house events and operational communication sessions as and when required eg: Team buildings, Operations fun events, Quarterly lunch venue group bookings, this will include managing the event from beginning to end including guest lists, invitations, RSVP’s, event logistics and budget requirements.

Support Communication within Operations
• Liaise with OPS Management teams regarding placement of articles and other opportunities for exposure via the In-house communication channels and tools.

• Manage the Operational communication calendar.

• Ensuring that all operational departments are supported with the relevant communication. (Consistently, timely and regularly)

• Supporting and facilitating the dissemination of information and communication within Customer Operations in collaboration with the Internal Communications Manager.

Operational Tasks

• Assisting with the organising of catering for the monthly partnership sessions.
• Assisting OPS Manager on an ad-hoc basis for any arrangements as requested.
• Maintaining stock counting and ordering of in-house stock items for Operational staff and managing stock reconciliations and accurate record keeping thereof.
• Process/Uploading quotes and invoices for all Operations related expenses and capturing expenditure onto Finance system (Fraxion).

General Qualifications and Competencies Education and experience

• Matric and or Tertiary education in relevant field, with specialisation in communication advantageous; Experience in administration, financial processes, calendar management, reporting, research collation and liaising with internal and external vendors;
• Experience with Finance systems advantageous;
• Must be able to work independently and be able to prioritise to manage the diverse requests and workload, and handle multiple assignments at once;
• Strong written & verbal communication skills;
• An outgoing personality with the ability to work with a broad range of people across our organization; Reliable self-starter who takes initiative and continuously strives to improve processes;
• A good working knowledge of Microsoft Office (Excel, Windows, PowerPoint, Outlook, Movie Maker etc.);
• Ability and willingness to take quality photographs of events and activities, as well as assist with the compilation of vlogs and other media related activities;
• Attention to detail, reliability and punctuality are imperative.
