Executive Assistant – Office of the Principal Officer

The Executive Assistant reports directly to the Principal Officer (PO) and works directly with the Senior Manager: Office of the PO in providing executive support in a one-on-one working relationship.

The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the PO and also serves as a liaison to the Chairperson of the Board. The incumbent will work under the direct supervision of the Principal Officer and in conjunction with the Senior Manager in the Office of the Principal Officer to:
? Management of administration for the office;
? Budget management for the office;
? Plan, coordinate and monitor projects for the office;
? Coordinate stakeholder management;
? Coordinate management reports;
? Manage logistics and travel plans;
? Coordinate staff engagement plans;
? Review correspondence and prepare draft responses for the office in conjunction with the PO;
? Conduct research on issues pertinent to the office; and

KEY RELATIONSHIPS
Internal
? Principal Officer, Executives, Senior Managers, Management and Specialists; and
? Other: Scheme staff.
External
? Outsources support services (SPN); and
? Ensure communication and roll-out of outreach activities.
? External Stakeholders.

REQUIREMENTS
Essential
? Minimum three(3) year National Diploma or Degree in Office Administration/Management;
? Five (5) years of office management with which two (2) years at a senior management support level;
? Understanding of stakeholder relationship engagement;
? Advanced use of Microsoft Office Suite; and
? Respect the need for confidentiality and sensitive information.

Skills
? Excellent letter writing and organisational skills;
? High level project management skills;
? Strong analytical communication skills both written and verbal.
? Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms;
? Strong interpersonal skills with an approachable personality;

Ability
? To work under pressure to agreed deadlines and adapt to change;
? Attention to detail to ensure that high quality work levels within the OPO;
? To work in a flexible manner including out of hours as and when required;
? Excellent written English and the ability to communicate at all levels;
? Ability to represent the organisation externally with key stakeholders;
? Ability to work closely with and lead a small team; and
? Knowledge and understanding of access and equity principles and issues.
Desirable
? Have an understanding of medical schemes industry; and
? Must be in possession of a valid driver’s license and own vehicle and be willing to travel at short notice.
