PA/ Executive Assistant (Audit, Tax and Advisory firm)

Parktown, Johannesburg

R 17000 – R20000 per month depending on skills and experience

My client is an international well-established professional Audit, Tax and Advisory firm based in Parktown Johannesburg. They seeking the services of aPA/ Executive Assistant to to assist the audit partners in performing administrative related tasks. The incumbent must be proactive, self-motivated, Able to work independently and able to meet deadlines

Required Qualifications / Experience:
• At least 3 years proven experience in a similar role.
• Matric.
• Drivers’ License.
• Secretarial Diploma or similar qualification will be preferred
• Proven skills on MS Office i.e. Outlook, Word, Excel, PowerPoint.
• Experience with Dictaphone, and personal dictation typing
• Communicate fluently in English.

Job Responsibilities:
• Financial statement typing and typing
• Engagement letters, reports, emails
• Dictaphone and personal dictation typing
• Typing and rolling forward of financial statements and allocate as required.
• Counselling
• Filing documents, locating files, setting up counselling meetings
• Diary & travel
• Maintains control of partner’s diary where necessary
• Completing travel documentation for visa and other purposes
• Booking flights, car hire and accommodation
• Meeting co-ordination
• Booking of venues, equipment and refreshments
CRM administration
• Updating contacts and team members, loading opportunities, generate and print reports,
• Loading information including opportunities & printing reports
• Flagging publications requirements & contacts for certain events
• Attending CRM meetings
General secretarial duties
• Management of e-mails
• Filing (electronic & manual)
• Submission of timesheets & expense claims
• Telephone admin (answering phones/making calls/taking messages) – will fall away with project mobile deployment
• On-line research
• Submitting requests for Forensic background checks for clients
• Screening financial publications for client articles
• Translations (German to English)- preferable
• Administration of fax line &IAP boardroom emails
• General office and partner support – tidying, organising cleaning, organising refreshments and any ad hoc assistance partner may require)
• Delivery and collection administration
• Arrangement of flowers and/or gifts for clients and staff
• Stationery management (order of stationery)
• Taking care of technology requirements for partners – computers, cell phones, data cards, etc
Oracle
• Basic understanding and using system for timesheets, expense claims, leave application for self and partners
Social committee
• Assisting social committee with administration - authorising internet payments, assisting with function admin
• Maintaining a High Performance Culture
