To provide full secretarial services and administrative support to Executive Management.

  • Secretarial services and Communications, including the following:
    • Minutes taking, initiating and following up on business matters behalf of the Executive Manager (EM); convey instructions and information to subordinates on EM’s behalf; replying to correspondence by deciding on content and handling back-up research; typing of documentation; provision of telephone service; handling confidential correspondence.
  • Retention and availability of information, including the following:
    • Establishment and maintenance of EM’s filing systems and follow-up systems; maintain leave roster for division’s management team.
  • Organisation and administration, including the following:
    • Perusal of all incoming mail, sorting, replying, redirecting or taking action where relevant; maintain individual diaries of EM’s; coordinate meetings and arrange off site meetings and functions; statistical analysis and reporting.
  • Group responsibility, including the following:  During absence of EM inform relevant staff and issue directives regarding matters requiring decisions; provide a back-up secretarial service to other EM’s; protection of company assets; provide company travel arrangement service to EM’s; establish and maintain personal data files.
  • University Bachelors Degree
  • Minimum of 5 years secretarial experience
  • Code EC Driver
  • Strong MS Office skills (Excel, Word, PowerPoint) and SAP literacy
  • Typing speed > 60 w.p.m. and minute taking skills
  • Excellent scheduling/diary management skills (Planning and organizing)
  • Excellent English communication skills – verbal & written
  • Confidentiality Self-driven, Assertive at all levels, Building working relationships and being a team player, Effective decision making and Must cope well under pressure
