Core Description

Accountable for efficient management of key aspects of the property portfolio as well as optimizing the full property management function, including the leasing, finance, property lifecycle, special projects, marketing and debt management, and implementing best practice, policies and procedures in line with property management. Coordinates hard, soft, technical, office services and strategic space planning, and leasing.

Job Responsibilities
Tenant relations, people management, property operations, lease and contract negotiation and administration, budget management and reporting on portfolio performance.
- Sets performance goals by property related to industry standards, portfolio strategies and monitors performance, adjust strategies as needed to optimise property and portfolio performance and client requirements.
- Management of all buildings per contractual agreements and business requirements so that facilities are operational and maintained to required pre-defined standards
- Ensure that all necessary contracts and annual inspections are in place.
- Manage portfolio in accordance with regulations and landlord and tenant legislation.
- Manage leasing, tenant recruitment and retention strategies including tenant representation.
- Negotiating terms and lease agreements with a focus on maximizing revenue for the business and reducing occupancy costs for clients.
- Supervising and monitoring the maintenance and updating of the computerized property records system including all contract records and contractor listings

- Responsible for ensuring compliance with current occupational health and safety legislation including the updating of all health and safety audit documentation in accordance with health and safety legislation
- Regular inspection of all managed buildings and the maintenance of notes concerning those inspections, records and information on health and safety matters
- Ensure that Property Management service delivery vendors meet business requirements and objectives and those services are fully scoped and compliant to contractual service level agreements
- Analyze monthly performance and budget projections and compare it to annual management plan and budget, and adjust strategies accordingly
- Work closely with CFO &CPM to evaluate financial performance against budget, benchmarks and pricing models for new business with new and existing clientele


- Develop year on year property business plans to achieve savings targets and working closely with the finance team to produce monthly financial status reports and future forecasts
- Responsible for the preparation of the service charge budgets
- Preparation of financial forecasts and annual maintenance expenditure budgets.
- Oversee the management of all properties up to the standard required by Property Management and Asset Management
- Oversee the review of building income and expense budgets prepared by the Property Managers, and add value to these budgets by altering assumptions to produce enhanced performance
Responsible and accountable for effectively managing and developing the Property Management Team

Required Certification/Professional Registration
Qualifications
Relevant 3 year degree (NQF level 7) is required, preferably in Finance or Property studies.

A post graduate property related Diploma or Degree will be an added advantage.
