Our client, a luxury hotel seeks to appoint a Groups & FIT Reservationist.If you meet the criteria below, then I would like to hear from you! REQUIREMENTS ï· Grade 12 or equivalent,ï· A Hospitality Management qualification is a strong recommendation,ï· Experience in Reservations,ï· Proficiency in English (Verbal, Written, Reading),ï· Proven abilities in developing and nurturing interpersonal relationships with guests, colleagues and suppliers,ï· Demonstrated experience using:o Fidelio Opera Property Management Systemo Microsoft Office Suite to at least Intermediate levelï· Above average Numerical skills,ï· Above average ability to communicate at all levels of the organisation, MAIN RESPONSIBILITES Financial: Satisfied Shareholders ï· To ensure that all quotes compiled are accurate and every attempt is made to secure the businessï· Manage and follow up on all deposit payments in line with the group terms and conditions and ensure that payments are received on time and communicated to the accounts department and cashiers prior to the group arrival.ï· Together with Cashiers, ensure that group billing checks are conducted daily, whilst groups are in house and accurate final group invoices are communicated to the client on departure.ï· Attend PM/PQ meetings to clarify and discuss outstanding payments for group bookings as and when required, ensuring that follow up and payment is received.ï· Maintaining a groups spreadsheet, distributed monthly, providing group status updates for the financial year.ï· Contribution to monthly Reservations report with regards to group revenue contributions for the month, 3-6 month group forecast, deposit revenues earned. Processes: Effective Processes ï· Each group booking to be complete with rate loaded and revenue reflecting. Actively manage group room blocks in terms of pick-up and wash, ensuring timely release of unused rooms.ï· Issuing of group contracts, pro-forma invoices within the group terms and conditions.ï· Drawing up of Group Sheets with detailed information pertaining to each department - communicating these documents with 1 weeks’ notice prior to the group arrival.ï· Daily follow-up of Inquiry & Tentative status groups according to the timelines provided to the client in order to effectively manage inventory.ï· Follow-up on quotes within 3 days of sending and regularly over the following 3 months.
