Title: IT Software Asset Controller

Synopsis
A leading company seeks to employ an IT Software Asset Controller to join their growing team.

Minimum Requirements
Qualification Required
• Diploma / Degree (advantageous)
• Asset Management related certification such as: SAM Essentials, Software Asset Manager (CSAM)
• etc

Experience Required
• 5 years in a IT Asset Management or similar role
• Paralegal or similar
• Contract Management
• 5 years in an IT or financial analytical role (for example, system analyst, database analyst, financial analyst)

Responsibilities
• The asset administrator is responsible for maintaining the IT software asset management (SAM) database or tracking system, which is the foundation for managing all IT software assets. The database / tracking system holds the records obtained from the entire life cycle of an IT software asset
• The design, development and regular generation of SAM reports to communicate and monitor compliance, liability and budgetary data
• The analysis of exception data to identify potential compliance issues; investigation of and reporting on licensing issues and remediation options
• Manage the software support and maintenance process to ensure that renewal payments are justified, are in line with contractual commitments, and are paid or cancelled in time to avoid late payment fees or cancellation penalties
• Liaise with stakeholders to generate a summary reports for legal stating the compliance, liability, operational and budgetary accountabilities
• Facilitate the process to get contracts signed and filled
• Identify "shelfware" (software that has been purchased but is not currently used) and report on recommended actions to reduce cost through license reuse or cancellation of support and maintenance contracts
• Maintain the SAM database, including input and update of data for software assets in relation to requisition, procurement, deployment, maintenance and retirement
• Identify discrepancies in the SAM database through periodic quality assurance audits, and resolve them or escalate them for investigation
• Alert on software / hardware destruction according to required standards, where appropriate
• Support in updating commercial & sourcing documentation relating to policies, processes and procedures and make it available via the company's intranet
• Effectively manage inquiries about software usage, deployment, license availability and external vendor license audit report requests in a timely manner
