- Vehicle and driver planning for specific sites
- Daily trip planning
- Plan vehicle loading, weight distribution etc.
- Manage Tracking System and report on vehicle abuse
- Manage fuel usage and fuel cards
- Check and Submit driver timesheets & driver bonuses on time
- Manage returnables from drivers – diesel slips, petty cash, incident report etc.
- Communicating with drivers on the road
- Report all breakdowns to Brett R
- Driver petty cash and staff travel allowance
- Cross border invoicing, manifest
- Payment and sign off of border agents
- Managing Cross border permits
- Obtaining abnormal permits
- Subcontractors
- Intercompany billing and invoicing
- Vehicle hire management
- Reporting and submitting insurance claims
- To make sure all stock is returned from various sites, especially cross border
- Maintain a list of company vehicles for the asset register.
- Keep a register of licensed and unlicensed vehicles that the company owns with expiry dates on licences.
- Allocate vehicle numbers to all vehicles.
- Manage and maintain a vehicle movement daily diary.
- Manage fleet administrator and stores
- Attend weekly progress meetings
- Deal driver complaints, queries and report to HR if it cannot be resolved
- Control Bank Permission Letters as well as company permission letters for cross border purposes.
- Monitor driver and vehicle licensing
- Monitor vehicles for transgressions of speeding, unauthorised use, recklessness and damage
- Follow the use of fuel and other bank card transactions
- Monitor budgeted use and expenses
- Monitor vehicle costs by the establishment of suitable systems to capture repair and running costs
