Fast growing medical practice requires a Practice Manager to work across both SANDTON and ALBERTON branches. The mandate of the position includes all administration from booking appointments and managing diaries (paper and online), all correspondence, billings as well as payment allocations and follow up with medical aids, to debtor follow ups and account month end printing. The bulk of the work is IOD so the incumbent will make use of a 3rd party for account submission.

Responsibilities

• Handle the transition of patients from reception to treatment and back to reception
• Relay address, practice billing information, and appointment details to patients, take detailed messages and relay them in time efficient manner to therapists
• Scheduling of appointments in electronic and paper diaries
• Diary management for all practice locations and all therapists
• Liaising with partners regarding patient bookings, rescheduling and cancellations whilst maintaining confidentiality (in front of other patients)
• Assist front desk staff with planning and prioritisation of daily tasks and cleaning staff with additional sundry activities, cleaning, stock etc.
• Create and or edit documents in MS Office
• Handle cash and provide cash invoices for patients paying cash
• Load of patient details onto the relevant billing systems – different systems are in place for cash and IOD patients
• Ensure all accounts have the correct ICD 10 code on them – responsible for contacting medical aids directly to request this authorization
• Responsible for determining the necessity for certain stock items, notifying the partners, obtaining quotes and presenting them to the partners
• Ensure all relevant IOD paperwork is obtained from other medical professionals and their staff
• Ensure all IOD queries are dealt with and progress reported on weekly
• Handling of FEM and RMA accounts as per IOD accounts
• Follow up unpaid accounts weekly and hand over to debt collectors as per practice policy
• Ensure all non-IOD patients sign the indemnity form and the sign in sheet at each visit
• Ensure a consent is signed for the following criteria: discount policy, payment agreement policy, pressure garment fabrication and fee policy
• Ensure all daily files are ready before therapists start treating and are filed at the end of the day. This is a shared responsibility with other front desk staff

Requirements

Qualifications:
• Completed Grade 12 with a post-matric course or qualification in administration or related secretarial preferred
• Valid South African driver's license with own reliable vehicle (non-negotiable) – will be checked
• Minimum 5 years’ experience in a similar role (complex practice management)
• Must have eCOIDA, Compsol or similar platform proficiency
• Intermediate MS Office skills (Outlook, Word, Excel, PowerPoint)
• No bad credit, no criminal record – will be checked
