Personal Assistant (Casual)

Job Purpose
To perform a variety of confidential and complex administrative, coordination and secretarial duties for the CEO, and the Executive Team. To manage travel and accommodation for the CEO, Executive Team, and other internal teams. To work closely with staff, external vendors, customers and general public in order to ensure the efficient operation of the CEO‘s office.

Key Responsibilities
? Compose, prepare and type correspondence, presentations, reports for the CEO and Executives (ad hoc support where required).
? Maintain the CEO’s and the Executive Team’s diary by scheduling appointments and booking meeting venues.
? Establish appointment priorities and reschedule appointments accordingly
? Collate and prepare material received from divisions for CEO’s approval and signature
? Prepare agendas or programs for meetings, take and distribute minutes of meetings.
? Answer telephones, screen calls, relay messages and direct visitors.
? Manage travel arrangements for the Executive team, i.e. flights, car and accommodation requirements
? Create and maintain hard and electronic records through filing, retrieval, retention, storage, compilation, coding and updating records.
? Create and maintain an effective document tracking system.
? File and retrieve documents, records and reports as requested.
? Submission and follow up on procurement of resources for the office.
? Minute taking in Corporate Services meeting and the general organising for such meetings.

Minimum Requirements
Education
? Grade 12. Secretarial Certificate/Diploma
? Secretarial experience at a senior level.

? Some experience as an administrator.
