A Company in the Banking Sector in Pretoria, requires the services of a well experienced Portfolio Administrator (focusing on multiple Projects) who will provide effective and efficient portfolio administrative support to the Head of the SPMO (Strategic Project Management Office). This is a 24-month CONTRACT position.

The scope will include but will not be limited to:
Portfolio Administrative Activities
Scheduling and minute taking of Portfolio Meetings ensuring venues, catering and attendance are undertaken with the highest level of care.
Preparing of various documents as part of the key functions of the SPMO; such as resourcing and demand management, portfolio reporting, budgeting and vendor support.
Portfolio Templates - review and updates.
Logging of various Service Requests as it might relate to resource demand, IT service demand, on boarding of new employees.
Handling all administration in relation to the setting up of new programme and portfolios.
Preparation and creation on Presentations.
Understanding internal procedure to ensure fast tracking through various operational processes
Portfolio Management Support
Continuous follow up with SPMO community of Practice re the accuracy of the Book of Work Tool
Providing support to Community of Practice as it relates to any elements of the Book of Work Tool
Become the Subject Matter Expert in relations to the Book of Work Tool
In conjunction with Portfolio Data Analyst prepare reports as it related to Portfolio
Maintain SharePoint site of the SPMO, ensure document paths are created and correctly allocated
General Office Support
Scheduling of HR Interviews
On boarding of new staff members into SPMO environment
Maintain Key Portfolio documentation such as resourcing requirements, project listings etc
SPMO stationary ordering
Invoice Management ensuring that invoice are paid on time and followed through
Catering &venue management for meetings

Minimum Experience Required:
Minimum of 5 years’ experience in related role (PMO Administration/Multiple Project Administration)
Computer literacy Excellent Microsoft Office and Project Office Skills
Excellent communication and Presentation Skills (Written and Verbal)
Experience in knowledge management
Knowledge of Basic Project Management
Diploma in Project Management or Business Administration related field equivalent of NQF5
