PURPOSE OF THE JOB:
This role manages the entire Project Financial work stream and bookkeeping processes of the organisation using Software called Umbrella. Since it is a small organisation, the role also supports some Head Office and Operational requirements.
REQUIREMENTS FOR THE JOB / THE PERSON WE ARE LOOKING FOR:
• The candidate should really care about the less privileged and have a strong belief in fair and equal chances for all
• The candidate should have
o A proven track record of experience in the non-profit sector with at least three years of work experience in donor funded projects
o The ability to communicate professionally, creatively, flexibly and respectfully with clients: both in the corporate sector (on all levels), as well as in the NGO sector
o The ability to maintain the highest level of honesty and professionalism when dealing with staff, funders, project participants, and partner organisations
• The candidate should
o Be accurate and pay attention to detail
o Be reliable and accountable
o Be able to handle pressure
o Be flexible and able to work in an ever changing context
o Be fluent in written and spoken English
o Have Organisational, planning and time management skills
o Be experienced and competent in all Office Applications, including Word, Excel and PowerPoint
• The candidate must have a valid South African driver’s license, own transport and must be prepared to work between Sandton and Diepsloot Offices
OVERVIEW OF THE JOB:
GOVERNANE & COMPLIANCE • Work with the accountant and Company Secretary to ensure compliance in all Trust and Legislative matters, including BEE Compliance, OHS, FICA, Dept. of Labour requirements, new Legislation, etc.
•
PROJECT ADMIN AND CONTROL • Ensure all Programmes/Project/Participants are listed in Umbrella and that budgets are captured
• Process supplier invoices for payment and capturing in Umbrella
• Issue Quotes and Invoices and follow up on payments
• Manage RFE’s (Requests for expenditure by project staff) and Recons/Claims
• Oversee Petty Cash recons (2 Sites)
• Ensure compliance with Financial Policies and SOP’s (Standard Operating Procedures)
• Reconcile Bank Statements
• Manage Stock Inventories and a small Asset Register
• Produce Management Accounts
• Track and monitor Project Expenditure and Produce Monthly Project Reports
• Prepare documentation for annual audits (with the accountant)
• Ensure backup of the Umbrella System
MONITORING AND EVALUATION • Assist with the setup of a M&E System and Process for monthly reporting on all Programmes and Projects
• Manage the System and produce monthly reports
SOP’S AND GENERAL ADMIN • Support the implementation of and compliance with non-financial SOP’s
• Manage information in shared folders (online) and hard copies
• Support Project Staff where required
• Manage incoming reports
HR AND PAYROLL • Work with the accountant on Leave and Payroll
• Draw up Staff and Contractor Letters of Employment and Contracts
• Manage staff loans
• Maintain Staff and Contractor Files
BEE CONTRIBUTION MANAGEMENT • Maintain a BEE Contributions Spreadsheet, tracking SED and ED donations
• Allocate (ring-fence) funds in Umbrella to specific Programmes or Projects/Participants
• Prepare all BEE recognition documentation for corporates to get their BEE Points
• Manage ongoing communication and relationships with BEE Contributors
DONATION MANAGEMENT (STEWARDSHIP) • Ensure good governance and compliance with procedures for Donation receipt and distribution (this is not our core business but is part of working in a community)
• Send out letter of thanks to donors and ensure compliance with any requirements from their side
