To deliver a professional and efficient first line service to clients, visitors and employees at the reception area and on the switchboard to ensure that the image and reputation of the Company Group is protected at all times.

Position Description Key Accountabilities

Reception

? Provides a professional reception service to employees and the Company visitors.

? Receives all visitors and contacts the relevant person to collect them at reception.

? Ensures that the reception area is kept neat and tidy at all times and in order.

? Monitors the access to the building at reception.

? Welcomes clients and any visitor to the reception area.

? Informs personnel of their visitors, documents and information at reception.

? Answers visitor enquiries about the Company.

? Directs visitors to appropriate Company contact.

? Observes and reports any suspicious behaviour or activities.

Switchboard

? Provides a professional telephone switchboard system to staff and customers.

? Screens and redirects calls to the relevant extensions and business units.

? Relays messages and information by e-mail as required.

? Ensures that the switchboard is in good working order at all times by alerting the Supervisor of faults.

? Ensures that the internal telephone list for the whole group is updated on a continuous basis.

? Answers the telephone professionally and promptly.

? Portrays a friendly and helpful attitude at all times.

Administrative Support

? Provides Supplier Database forms to suppliers and provides additional information as required.

? Screens and completes any required documentation for incoming or outgoing parcels via reception.

? Ensures that any parcel or document is relayed to the recipient or the mail distribution room timeously.

? Ensures that any complaint is escalated to the supervisor and addressed timeously.

? May be required to assist with the opening and closing of the building at the reception area and safeguarding of keys.

? Alerts the supervisor of any equipment in the reception area that needs to be maintained or serviced.
