My client, an electronic manufacturing company, has a vacancy for a Sales Administrator / Debtors Clerk to join their dynamic team.

Duties include the following, but not limited to:

  • Maintain customer information

Collect payments and ensure they are accurately recorded:

  • Maintaining spreadsheet and contacting clients
  • Provide clients with invoices, statements and ad hoc documentation e.g. VAT certificate as needed on daily basis
  • Reconcile and continuous follow up on debtors daily, weekly and monthly
  • Verify and follow up invoices, remittance advices and payments
  • Attend to queries
  • Handling of incoming international payments’ documentation

Reporting to Directors:

  • Provide periodic reports and reconciliation reporting mid monthly and monthly
  • Provide debtors age analysis summary to ABSA on monthly basis

Reporting Weekly basis Finance Management:

  • Extract information and data for the analysis of accounts, consolidate information and prepare spreadsheets

Filing:

  • Maintain a filing system in respect of accounting data, records, quotes, sales orders, delivery notes and invoices
  • Maintaining Bureau client list spreadsheet
  • Reconciling Credit Cards

Sales Admin Support:

  • Creating quotations and sending to applicable people
  • Updating quotations and redirecting Purchase Orders when needed
  • Maintaining created quote spreadsheet
  • Receipt of requests for quotations and redirecting when needed
  • Follow up of quotations
  • Creating Sales Orders and sending to applicable people
  • Invoicing Clients and sending documentation to applicable people
  • Handling and redirecting queries and requests
  • Liaising with clients

Tender and Vendor Applications:

  • Completion of Vendor documentation
  • Forwarding Vendor documentation to applicable people
  • Obtaining Tender Documentation
  • Completion of Tender Documentation
  • Forwarding Tender documentation to applicable people

Requirements:

  • Min matric
  • Min 5 -8 years previous experience in a similar role
  • Fully bilingual English / Afrikaans
  • Computer literate MS Word, Excel, Internet and Email

Salary:

  • Negotiable depending on qualifications and experience (Please state your salary expectation and notice period along with your application)
