My client is regarded as a major supplier of gas products in Southern Africa, with a vision to be the preferred supplier of LPG, related products and services within the SADC region. They are a rapidly growing company with vast career opportunities. My client is currently seeking to appoint a Sales Administrator in one of their operation based in Cape Town.

REPORTING STRUCTURE: The successful incumbent will report to the Commercial Manager
CLOSING DATE: 21 September 2012

THE FOLLOWING QUALIFICATIONS AND EXPERIENCE ARE ESSENTIAL:
• Diploma - transport or sales related
• Matric Certificate
• Minimum of 3 years related experience
• Able to work under pressure with stringent dead-lines - especially at month-end
• Interpersonal skills and the ability to work at various levels in the organization
• Outstanding communication abilities, preferably a qualification in this line
• Ability to perform functions across various disciplines in the organization
• Computer literacy (Intermediate Level: Excel, Pastel and Word). Good knowledge of Outlook or similar messaging tool.
• Pastel Evolution knowledge advantages

ALTHOUGH NOT LIMITED TO, THE INCUMBENT’S MAIN RESPONSIBILITIES WILL INCLUDE:
• Understanding operating hours of customers and to ensure all issues are followed up and resolved effectively Management of budgeted volumes to ensure that budgeted volumes are achieved by the off-take of the customer
• Preparing purchase orders to suppliers, load payments and ensure payments are approved by the Finance Manager and fax
• Ensuring that all budgeted sales volumes are achieved by ensuring that customers take the required volumes as per the
• Ensuring pro-active ordering and management of stock levels to maximum benefit of the company
• Ensuring that all issues/problems are documented at all times with the required information
• Contract and to follow-up and ensure corrective action is taken when this is not happening
• Maintaining customer relations at all times - analysis and understanding the needs
• Management of Administrative duties related to sales functions
• Preparing daily and weekly sales reports for weekly meetings
• Relief on switchboard and reception duties when required
• Managing of customer orders once contracts are finalized
• Perform any reasonable task allocated by management
• Understanding the buying patterns of the customers
• Preparing letters of increase/decrease in prices
• Preparing pro-forma invoices for customers
• Phoning and capturing of orders, daily
• Proof of payment to the supplier
