DUTIES

• Will be working with project team
• Maintain complete & accurate records for multiple jobs
• Review each project’s project plan/SOW & become familiar with the unique aspects of the
• Monitor project mailbox
• Set up & manage support functions including planning, tracking, reporting, quality management & internal communication
• Produces consolidated reporting to the Project Board, including milestone summary, key issues, risks, benefits, summary of costs incurred
• Establishes standards, tools and procedures for use on the project, including Issue, Risk, Change & Information Management
• Creating & maintaining Project Library
• Assists with the production of user documentation
• Provide administrative support to Project Manager
• Arrange meetings & workshops for the Project & take & distribute minutes
• Collate agenda items, circulate papers, agendas & minutes to agreed timescales
• Attend appropriate internal & external meetings as agreed with the Project Manager
• Arrange & coordinate outside events
• Assist the PM in the drafting & issuance of project proposals, RFP’s, tenders, budgets, cash flows & preliminary schedules
• Prepare project organization & communication charts
• Use project scheduling and control tools to monitor projects plans, work hours, budgets and expenditures
• Ensure clients’ needs are met in a timely and cost effective manner
• Prepare substantial completion certificates and ensure all required project close out documents are obtained
• Draft and word-process correspondence, emails, and documents as required
• Produce information from spreadsheets (including graphs etc) and databases
• Creating, maintaining and integrating project plans, ensuring timely completion of action items and ensuring mitigation and resolution of risks
• Ensuring projects are run in compliance with the Organisation’s requirements
• Tracking and reporting overall progress of project/s
• Planning and scheduling of resources

QUALIFICATIONS & EXPERIENCE

• 3-5 years of experience supporting Project Managers in the delivery of projects
• Proficient in MS Project & the MS Office Suite of products; Project Management qualification
• Experience in the banking sector
• Effective communication skills including verbal, written and presentation skills
• Ability to work effectively both independently & in a team based environment
• Willingness to be flexible & adaptable to changing priorities
• Strong multi-tasking & organizational skills, ability to meet deadlines under pressure
• Attentive to detail, accurate & well organized
