Site Contracts Administrator, Ellisras/Lephalale - Ref: 717331-22

Our client currently has an opportunity for a Site Contracts Administrator to provide an on-site, administrative function ensuring superior customer service and support and making sure that all administrative contract requirements are met on time with accuracy.
The successful incumbent will hold a minimum of Grade 12 together with 2-5 years’ experience in customer service and an understanding of warehouse operations.

Position details:

Key Performance Areas
Customer service for site contract.
Entering orders onto the system accurately.
Ensuring that back order reports are maintained.
Liaison with supply chain and logistics departments to ensure dates meet customer needs.
Communicating delivery problems to customer as well as Contracts Manager.
Adhere to company and customer procedures.
Ensure that correct parts and kits are supplied to the site end user.
Maintaining the stock accuracy levels within the store.

Duties and Responsibilities
Advising customers on stock availability from relevant warehouse locations.
Ensuring that all orders are entered onto the system accurately with reference to paint and pack codes and realistic promised dates.
Acknowledgement of receipt of order by fax or e-mail and giving expected dates to meet customer needs.
Offering substitute parts when necessary or obtaining stock from other warehouse locations to meet customer needs.
Liaison with supply chain or logistics departments regarding availability and expected in plant dates to meet customer needs. This applies to both local and import products. This requirement also applies to buyouts that may have to be supplied with the contract.
Communicate delivery problems timeously to customers and when necessary to Divisional Managers.
Communication of open order status to customers for reconciliation and to external / internal stakeholders on matters related to meeting customer and contract needs on time.
Adhere to recovery strategy where customers needs have not been met.
Departmental procedures for GRA, PNC, IBT, credit notes and debit notes.
Adhoc duties as and when required.
Packaging of kits as and when required, ensuring 100% accuracy as per the contract material lists. This includes adequate marking and labelling.
Good housekeeping practices.
Ensuring that all site SHEQ requirements are met.
Receiving & offloading of deliveries from other warehouse locations.
To maintain accurate stock records by ensuring that all transactions are done correctly and timeously on the system on a daily basis.
Keep filing system for POD & invoices up to date and accurate.

External and Internal Customers
Sales, Finance, Logistics, IE, QC, Warehouse/ Dispatch and Supply Chain.
Site customers and end users.

Job Qualifications, Skills & Experience:
Grade 12
Minimum 2-5 years in customer service & understanding of warehouse operations.
Computer literacy on Oracle and Windows.
Communication skills (written & verbal).
Attention to detail.
Able to multi-task.
Customer focused.
Some technical understanding.
