Admin Assistant/Bookkeeper
Assist with maintaining day to day financial, accounting, administrative services in order to meet legislative requirements and support.
Strong admin skills (Microsoft Office – Excel, Word) Pastel is a MUST.
General clerical duties including photocopying, fax & mailing
Quoting (FTG – find the gap) and other
Training will be provided on FTG
Training will be provided on product line items, sanware, hardware, flooring, doors, etc.
Co-ordinating stock and liaising with warehouse on deliveries and all stock issues
Following up on paperwork: Invoice, Delivery Note, Credit Notes, Back Orders, etc
Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
Contributes to team effort by accomplishing related results as needed
Answer, screen and transfer inbound phone calls
Receive and direct visitors and clients
Schedule and coordinate meetings, appointments and travel arrangements for managers
Maintain office supply inventories
Front of house for all prospective clients
Logistical Support (export & import) when needed
Arranging samples for presentation in the office
Setting appointments
Overall back office support
Assist with PA duties to Managing Director
Proficient in English and Afrikaans (advantageous)
Understanding of the following is advantageous:
Design/Building Industry
Read/understand plans
Building process
Estimating/Quoting
At a later stage, potentially assist with:
Processing orders through Pastel
Invoicing through Pastel
