Duties and responsibilities:

Check Recordal certificates/notices against other documents
Send certificates/notices to client with covering letter
Scan documents, inserting and updating data onto in - house system (Patricia)
Return incorrect foreign and local certificates for correction
Check for outstanding certificates/notices
Follow up with relevant stakeholders on either incorrect or outstanding certificates
Advise clients of outstanding certificates
Assist in the recordals department with the preparation and filing of recordal applications and, where necessary, the filing of renewal applications
Attend to general recordal matters
Generate letters through the internal system
Handle routine correspondence


Skills and knowledge:

Computer literate in MS Office Suite
Fully conversant in English
Attention to detail
Ability to work independently and under pressure
Ability to prioritise and learn systems
Ability to handle information related to the department with confidentiality
Good organisational skills
Accuracy is integral


Qualifications:

Matric
Secretarial Certificate/Diploma (an advantage)
