Housing Administrator/ PA-Executive Manager for Housing Management
Fixed Term Contract for 5 years
One of the top Housing Company that operates in all four corners of South Africa is currently recruiting for a Housing Administrator. Purpose of the Job will be to provide professional secretarial and office support/ administration services, including diary management and to facilitate operational efficiency in the Housing Management Department

Education, Training and Experience
• A valid Grade 12 Certificate
• Relevant Secretarial qualification
• A minimum of five (5) years secretarial experience preferably in a housing management environment
• Experience in a financial environment would be advantageous
• Knowledge of MS Office
• Communication, attention to detail and planning skills are essential


Key performance areas
• Co-ordinate inflow and outflow of clients and stakeholders, city officials, Government officials, external executives, the board and shareholders
• Respond to incoming calls and direct them to relevant Departments
• Respond formally to queries, requests and enquiries from internal and external customers, stakeholders, general public, etc.
• Make follow-ups with relevant Managers on all queries and ensure that they are adequately addressed
• Co-ordinate interdepartmental meetings
• Make appropriate arrangements for knowledge exchange on request by external stakeholders (other local authorities)
• Manage complex executive calendars and plan for various meetings and conference calls
• Prepare meeting documentation and background information prior to the meetings
• Ensure meeting venues are prepared and appropriate equipment and meeting documentation is available
• Ensure the agenda for scheduled meetings is prepared and presented prior to meetings
• Ensure that all information/research that needs to be carried out for meetings are compiled and complete
• Manage and maintain effective procedures and efficient day-to-day work flow by creating and implementing a correspondence management system and process for incoming memos
• Ensure all correspondence is typed and where appropriate drafted and approved by a Manager or dispatched independently
• Administer the document management system and ensure confidentiality.
