Type correspondence, reports and other documents Debtors, Creditors, Cash-ups, Daily Banking Maintain office files Open and distribute the mail Take minutes at meetings and distribute minutes accordingly Coordinate repairs to office equipment Assist Branch Manager with ad-hoc duties and responsibilities Update excel spreadsheets – reporting etc. Assist with regular stock takes at Branch Professional in dress and conduct Maintain and ensure the cleanliness and orderliness of bathroom, kitchen, server room, meeting room & boardroom Maintain & Update Information Board Coordinate & maintain personnel schedule, working hours & leave roster Any additional duties as requested by Management Register of all IT issues & problems – coordinate consultants Control of staff refreshments & cleaning material Order & control of all document printing (invoices, credit notes, transfer docs) Control of copiers, toners end printing paper Maintain cleanliness and orderliness of desk & office space Ordering of Groceries and handing it to cleaning lady and warehouse staff Complete Credit Applications Supervise Cleaners RECEPTIONIST Professionally operate multi-line phone system, directing calls and taking messages Screening of calls Control & maintain telephone management system Greet, assist and acknowledge public, members and visitors, following office protocols Operate/maintain office equipment (fax, copier, printer, computer, etc.), coordinating service and troubleshooting with the appropriate vendor Receive and distribute faxes Typing of documents (confidential) Filing out of standard forms and documentation Updating of telephone lists and systems to include new employees Handles special administrative projects; this may include pre-approved overflow work from department Produce and compose memos, letters, lists, simple spread sheets, etc. Process incoming/outgoing daily mail and delivery of bulk mail Assist with meeting preparation, may include food/beverage, and/or packet preparation, etc. Other duties as assigned CASHIER Be polite to all customers Processing of all payments for customers when they come to the cash office Management of all excel spreadsheets and cash up for the day Ensure cash is always handled correctly Ensure normal cheques and special clearance cheques are handled correctly Ensure debit cards and credit cards are handled correctly Do daily cash up in the afternoon with another staff member Make sure that outstanding COD list is clear Ensure invoices are put in number order every day Ensure that all refunds and credit notes have been authorized Ensure that all rebates have been authorized Handle pro-forma invoices and proof of payment for EFT Ensure float in till is correct every day Make plans for change – fax change needed to bank Follow all processes and procedures as indicated Maintain cleanliness and orderliness of cash office Any additional duties as requested by Management.
