Engineering Consulting Firm in Technopark looking for a Personal Assistant/Office Manager
Main Area of responsibility:
• Manage daily diary of MD
• Conduct daily meetings to establish priorities and reminders for the day and week
• Assist MD manage output, workflow and office deadlines
• Take minutes at all meetings, process and filing of minutes
• Draft, type and dispatch all MD correspondence as instructed
• Liaise with relevant individuals, external organizations etc to arrange meetings, prepare agendas and draft minutes
• Manage the process of briefing MD and relevant personal re meetings for the day
• Establish and maintain a comprehensive filing system
• Producing documents, briefing papers, reports and presentations
• Ensure effective transfer of data onto server
• Assist with administrative overflow of projects as needed
• Tabulate and retrieve MD’s official expenditures and claims
• Extensive research as required, handle media relations and promotional work if necessary
• Organize and finalise all travel, accommodation and transportation
Qualifications and skills:
• At least 2 years experience in a similar role
• Excellent telephone and typing skills
• Excellent organizational skills
• Strong written and verbal communication skills
• Experience of working with international clients / organizations / Government
• Proven ability to work under pressure and meet deadlines
• Bright, confident personality, highly personable
• Judgment and discretion in workplace highly important
• Attention to detail, ability to filter information and assess priorities
• Flexible and mature approach with ability to work unsupervised
• Proficiency of Microsoft Office – (MS Word, PowerPoint, Excel)
• Drivers License
