Our client currently has an opportunity for an energetic, enthusiastic, time management guru to efficiently assist the GM: Manufacturing. The successful incumbent will be an experienced PA who is used to dealing with tight deadlines and frequently changing priorities. You will also hold a relevant tertiary qualification together with excellent organisational abilities.

Job Description

Administration.
Answering telephone calls and handling queries.
Taking messages for the GM: Manufacturing.
Arranging appointments.
Organising meetings on behalf of the GM’s.
Setting agendas and maintained minutes of meetings for Manufacturing and Human Relations.
Maintaining and time management of the GM: Manufacturing’s diary.
Controlling cost center costs.
Ensuring BG level is achieved, and initiatives are taken for cost reduction (plant).

Presentation/Reports
Maintain the CBT4 structure.
Meeting updates.
Agendas and preparation of POR presentations for Manufacturing & Human Relations.
Create and compile monthly reports and presentations in advance such as GLs, BSC.
Central reporting, MLM, Town Halls, etc. for Manufacturing Division.
Daily updating of information sharing platforms such as Canteen screens, etc. or Manufacturing Division.
Assist in preparing newsletters, formal letters, speeches, presentations and reports for all possible requests for Manufacturing and Human Relations.

Travel Bookings
Travel booking for manufacturing division & Human Relations.
Travel administration.
Travel agent point of contact for Manufacturing & Human Relations.
Monitor international/domestic travel costs for manufacturing employees - (SAP and Finance).
Arrange visa appointments for Manufacturing & Human Relations employees.

Management/Employee Liaison
Liaising with staff, suppliers and clients; ensure an effective message from the GM’s office and work with internal communications to get the strategy of the company to the employees.

Events
Planning, organisation, coordination of manufacturing events such as conferences, team buildings, strategy sessions, year-end functions, Christmas hampers, recognition events where applicable from GMs office.
Catering for events organized by GM’s office.
Planning, organisation, coordination for Plant visits, such as Board meetings and review meetings.

Projects
Planning, leading, organising, controlling and executing special projects assigned by superior for improvements that relates to GMs office or special projects outside scope of work applying tools like CBS Manufacturing and Human Relations.

Job Qualifications, Skills & Experience:

A minimum of a Business/Administration Management Diploma or equivalent.
A Minimum of 5 years previous personal assistant, secretarial or commercial work experience is essential.
