Purpose of Job:
To Provide efficient administrative support and project oversight to the Thrust Manager in order to accomplish timeous delivery, good turn-over and stakeholders satisfaction on all projects within Thrust.
Key Responsibilities:
Project Administration:
• Provide efficient and cost effective administration support services.
• Liaise with Tender Office.
• Assist with development of project plans.
• Registration and tracking of projects on project management system.
• Responsible for timesheets control.
• Arrange travel logistics for project related trips.
• Responsible for travel claims advance and reimbursements) for projects.
• Update project calendars.
• Provide efficient and cost effective financial support services.
• Monitor expenditure on all projects and advise Project Manager and Thrust Manager.
• Liaise with finance to track projects creditors and debtors.
• Provide efficient and cost effective procurement support services.
• Procure goods and services for projects.
• Ensure Thrust and Projects artefacts are correctly stored and accessible, ensuring required levels of confidentiality is applied.
• Liaise with project stakeholders (internal and external).
• Provide secretarial support to Thrust Manager and Project Managers including taking minutes during meeting, preparing memoranda’s, agenda and producing minutes.
• Attending field visits and compile minutes of meetings held during such visits, where required;
Reporting:
• Collate projects reports.
• Prepare monthly progress reports.
• Quarterly report on project portfolio to Board and Board committees.
• Quartely projections on commercial business.
• Ad hoc submissions or reports.
• Make contributions towards the annual report.
Project Oversight:
• Assist with arrangements for project evaluations and assessment of results and report on progress of the projects.
• Assist to ensure that services offered and delivered excel in terms of quality, budget, timing and value to the stakeholder and client.
• Assist to ensure that a high level of client satisfaction is achieved.
Compliance:
• Ensure compliance with company policies and procedures in the Thrust.
Risk Management:
• Assist with risk management which includes making the contribution to management of the strategic and operational risk mitigation actions where appropriate.

Qualifications and experience:
• An appropriate diploma or degree in project administration or equivalent
• At least five (5) years relevant experience
• Good communication skills( verbal and written)
• Proven track record in project administration.
• Advanced computer skills in Microsoft Office, especially Word, Excel, MS Project, Power Point and Outlook.
• Knowledge of PIMBOK project methodology advantageous.
• Exposure to PPO software an advantage.
• Experience with project financial reporting is recommended.
