Our client requires the service of a Project Administrator who will responsible for co-ordinating and ensuring the effective mobilization and demobilization of all sub-contractors for all allocated contracts for all respective countries.

Key performance areas:

Movements & Mobilization of Sub-Contractors:

? Adhere to the mobilization process and work closely with the relevant departments to ensure the effective mobilization of teams
? The daily/weekly/monthly scheduling (on Outlook and on Crew Management Database)
? The Conducting of all Pre-mob & Demob meetings for all respective projects
? Ensure that all Project Managers/Country Managers/Departments and Subcontractors are kept up to date on all scheduled updates/changes
? To check and ensure the accurate documentation is completed and signed for by all subcontractors at pre-mob for their respective mobilizations
? The timeous confirmation and booking of flights/accommodation/car-hire with in-house travel agent and to monitor and manage movement of subcontractors using the most economical flight costs at all times and keeping operations costs to a minimum

Subcontractor Management:

? Maintain sound relations with subcontractors
? ensure that all crew selected have valid contracts prior to mobilization and the required documentation for travel
? Ensure that client/subcontractor concerns or issues are directed to the relevant Project Manager’s in order for them to be resolved as soon as possible
? With managers approval, conduct subcontractor warnings, terminations and ensure recording/administration thereof on CMS
? Together with the HR Department, ensure that contract extensions / amendments are done weekly and when required

General Administration & Daily Communications:

? Maintain/update requirements/documentation on QMS for all respective premob check lists to ensure that they are up to date
? To be contactable after hours if/when required for urgent matters
? Reply to all daily emails and Skype conversations timeously
? Attend all respective pre-mob & demob meetings
? Reconciliation of Subcontractor invoicing for responsible countries for submission to Finance Department

The successful candidate must have:

? Matric with a tertiary qualification in Logistics or Project Management or similar qualification
? 2 Years’ experience working in a Logistics environment of personnel movement
? 3 Years project management experience
? Excellent computer literacy (MS Word, Outlook, Excel & SAP advantageous)
? Ability to professionally communicate in English
? Must be problem solver
? Occupational Health and Safety
? Able to contribute to the workplace by providing new ideas, suggestions to make processes more affective/efficient
